Healthcare Scheduling Manager
Osborne are seeking an experienced Healthcare Scheduling Manager to work with our client to lead out on their national scheduling function and ensure the seamless delivery of high-quality homecare services across multiple branches.
This is a fast-paced, senior operational role for a healthcare professional who thrives under pressure and is passionate about delivering exceptional care and customer service. Working from Head Office, you will oversee nationwide scheduling operations, ensuring every client receives the care they need while supporting Branch Managers and Healthcare Assistants to deliver safe, person-centred services.
You will play a pivotal role in ensuring operational excellence, maintaining service continuity, and providing leadership to the On-Call team. Key Responsibilities:
Healthcare Operations & Service Delivery
- Lead the day-to-day scheduling and on-call operations for a nationwide homecare service.
- Ensure all scheduled care visits are allocated promptly, with no disruption to client care.
- Monitor daily rotas, identify scheduling gaps, and implement immediate solutions.
- Work collaboratively with Branch Managers to maintain continuity of care across all locations.
- Proactively manage operational challenges, escalating risks where appropriate.
- Ensure every client receives a safe, reliable, and responsive service.
Customer Service & Client Experience
- Champion exceptional customer service for clients, families, and healthcare staff.
- Respond professionally to urgent client and family enquiries, providing reassurance and practical solutions.
- Coordinate rota amendments and emergency cover while maintaining clear communication with all stakeholders.
- Build strong working relationships with Branch Managers, Healthcare Assistants, and support teams to ensure outstanding service delivery.
Leadership & People Management
- Lead, coach, and develop the On-Call Scheduling Team.
- Provide confident leadership during high-pressure operational situations.
- Support Branch Managers with workforce planning and operational decision-making.
- Mentor and guide Healthcare Assistants, ensuring they receive appropriate support and direction.
- Foster a positive, collaborative culture focused on accountability, teamwork, and continuous improvement.
Operational Excellence
- Standardise scheduling processes and promote best practice across all branches.
- Monitor service performance, identifying opportunities to improve efficiency and client outcomes.
- Maintain accurate operational records, reports, and scheduling documentation.
- Produce weekly and monthly operational reports for senior management.
- Ensure compliance with company policies, healthcare regulations, and quality standards.
Essential Experience
- Minimum of three years’ experience in homecare, community care, or healthcare operations.
- Proven experience managing healthcare scheduling, workforce planning, or service coordination.
- Previous experience leading, coaching, and developing teams.
- Strong operational management experience within a fast-paced healthcare environment.
- Willingness to participate in an on-call rota.
