Job Description

 Production Administrator

Our client is currently recruiting for a Production Administrator to join their manufacturing facility based in **Kilkenny City**.

This is a busy and varied role, ideal for someone who thrives in a fast-paced manufacturing environment and enjoys working as part of a collaborative team.

The successful candidate will play a key role in supporting production operations by ensuring accurate administration, effective coordination, and clear communication across multiple departments.

Key Responsibilities:

Customer Service & Order Management

  • Act as the main administrative contact for private label customers.
  • Receive and process customer orders accurately using SAP.
  • Generate customer invoices following order completion.
  • Prepare dispatch documentation and arrange shipments where required.
  • Respond promptly to customer enquiries regarding orders, deliveries, and account-related queries.
  • Process customer debit and credit notes, including testing and storage charges.

Logistics & Shipping

  • Arrange courier collections for UK shipments.
  • Prepare shipping and export documentation for courier and freight services.
  • Maintain accurate dispatch records and documentation.

Purchasing & Procurement

  • Raise Purchase Orders (POs) for maintenance requirements and other operational purchases.
  • Monitor and follow up on supplier prepayments where required.
  • Manage office stationery ordering and maintain appropriate stock levels.

Internal Transactions

  • Process internal transfers by creating Order Requests (ORs) and Purchase Orders (POs).
  • Create stock transfer orders between manufacturing sites.
  • Process operational orders across multiple business units.

Production Administration

  • Prepare production paperwork to support manufacturing operations.
  • Ensure production documentation is accurate, complete, and available to meet production schedules.

General Administration

  • Maintain accurate records and documentation.
  • Provide administrative support to the production, logistics, finance, and management teams.
  • Assist with the continuous improvement of administrative processes.
  • Carry out additional administrative duties as required.

Essential:

  • Excellent organisational and time management skills.
  • Strong customer service and communication skills.
  • High level of accuracy and attention to detail.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong problem-solving skills and the ability to work independently.Confident communicator with the ability to produce clear and professional correspondence.

Desirable:

  • Previous experience using SAP or a similar ERP system.
  • Knowledge of production, logistics, or supply chain administration.
  • Experience preparing shipping documentation and arranging courier services.
  • Understanding of purchasing and procurement processes.
  • Proficiency in Microsoft Office, particularly Excel and Outlook.
  • Previous experience in an administrative role within a manufacturing or production environment.
