Parts & Scheduling Coordinator

Osborne Recruitment is delighted to partner with our client in recruiting a Parts & Scheduling Coordinator. This is an excellent opportunity for a highly organised and proactive professional to join a dynamic operations team and play a key role in supporting the efficient delivery of service, maintenance, and installation activities.

Working closely with the Operations Manager, you will coordinate parts procurement, inventory management, engineer scheduling support, and operational planning. Acting as a central link between engineers, suppliers, and internal departments, you will ensure the right parts and resources are available at the right time, helping to maximise productivity, minimise downtime, and deliver an exceptional customer experience.

This position also offers the opportunity to contribute to continuous improvement initiatives, helping to streamline processes and enhance operational performance.

Key Responsibilities:

  • Coordinate the procurement of parts and materials to support service, maintenance, repair, and installation activities.
  • Manage inventory levels, purchase orders, supplier relationships, warranty claims, and procurement records to ensure efficient stock control.
  • Work closely with the scheduling team and engineers to ensure parts are available for planned work, minimising downtime and repeat visits.
  • Support operational planning by coordinating parts availability, prioritising urgent requirements, and assisting with day-to-day scheduling activities.
  • Build strong relationships with suppliers, engineers, and internal teams to ensure effective communication and service delivery.
  • Prepare reports on inventory, supplier performance, and procurement activity to support operational decision-making.
  • Identify and implement process improvements to enhance parts management, scheduling, and overall operational efficiency.
  • Provide ongoing operational support to the Operations Manager and act as the key point of contact for parts coordination across the business.

Key Requirements:

  • Previous experience in parts coordination, procurement, logistics, scheduling, or a similar operational role.
  • Excellent organisational and time management skills, with the ability to prioritise multiple tasks effectively.
  • Strong communication and relationship-building skills.
  • A proactive, solutions-focused approach with good commercial awareness.
  • Experience using Microsoft Office and inventory, procurement, or scheduling systems.
  • The ability to work collaboratively with engineering, operations, suppliers, and customers.
  • A full, clean driving licence.
