Office Manager & Executive Assistant

Osborne are working with a professional membership body who are seeking a recruit a highly organised and proactive Office Manager / Executive Assistant with a minimum of 3 years’ experience in office management and executive administration

The client is a professional membership body, so the right candidate is someone who enjoys working with members and responding to their queries professionally and confidentiality.

The successful candidate will have experience supporting senior executives, coordinating meetings and executive diaries, and managing multiple priorities in a fast-paced environment.

You will possess excellent communication, organisational, and problem-solving skills, with the ability to handle confidential information with discretion.

This role requires a professional, adaptable individual with exceptional attention to detail and a strong customer service focus. Extensive file management and working with the leadership team in file and record management as well as ad hoc administration work is part of the day to day duties.

This is a key position that contributes to the effective delivery of services to members by maintaining strong organisational systems, coordinating office functions, and supporting governance and operational activities.

Employment Type: Permanent

Location: Maynooth, Co. Kildare  (Role Based Fully Onsite)

Hours: 9am – 5pm

Salary: €50K + DOE

 

Key Responsibilities:

  • Manage the day-to-day operations of the office to ensure an efficient, professional, and welcoming environment.
  • Manage relationships with external suppliers and contractors.
  • Ensure compliance with health and safety, data protection, and office policies.
  • Support the planning and delivery of organisational events, meetings, and member activities.
  • Provide confidential executive support to the General Secretary.
  • Manage complex diaries, appointments, and meeting schedules.
  • Prepare correspondence, reports, presentations, agendas, and meeting papers.
  • Inbox management, communication on behalf of senior management team.
  • Maintain member’s schemes and liaise with providers on behalf of members.
  • Ensure enquiries from members, officials, employers, and external stakeholders are handled promptly and professionally.
  • Assist with organising conferences, training sessions, and member events where required.

Essential Qualifications and Experience

  • Minimum 3–5 years’ experience in office management, executive support, or a similar administrative role.
  • Excellent organisational and time management skills.
  • Strong written and verbal communication skills.
  • High level of discretion and ability to manage confidential information.
  • Advanced proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and online collaboration tools.
  • Experience coordinating meetings, preparing minutes, and managing executive diaries.
  • Ability to prioritise competing demands and work independently.

Desirable

  • Experience working within a membership organisation, trade union, professional association, charity, or not-for-profit sector.
  • Experience supporting Boards or governance committees.
  • Knowledge of records management and data protection requirements.
  • Experience coordinating projects or organisational events.
