Executive Assistant to the Chief Executive Officer

Permanent | Full-Time | Maynooth, Co. Kildare

Osborne Recruitment is delighted to partner with Golf Ireland, the National Governing Body for golf on the island of Ireland, in the recruitment of an experienced Executive Assistant to support the Chief Executive Officer and senior leadership team.

Golf Ireland is responsible for leading, promoting and developing the game of golf across Ireland, supporting clubs, players and volunteers while driving participation, performance and governance at every level of the sport. This is an exciting opportunity to join a respected national organisation that plays a pivotal role in shaping the future of golf throughout the country.

The Opportunity

This is a key position within the organisation, providing high-level executive support to the CEO while working closely with the senior leadership team, Board and committees. The successful candidate will thrive in a fast-paced environment, taking ownership of complex diary management, executive correspondence, national travel arrangements, meeting coordination and governance administration.

This role is ideally suited to an experienced Executive Assistant who enjoys managing multiple priorities, has exceptional attention to detail and takes genuine pride in delivering an outstanding service to senior executives.

Key Responsibilities

  • Manage the Chief Executive Officer’s diary, inbox, and correspondence, ensuring priorities are effectively managed.
  • Coordinate the CEO’s schedule, meetings, and organisational commitments.
  • Prepare detailed national and international travel itineraries, accommodation bookings, and logistical arrangements.
  • Maintain confidential records, databases and filing systems.
  • Coordinate Board and National Sub-Committee meetings, including scheduling, agendas, Board papers and meeting logistics.
  • Attend Board, committee and executive meetings, producing accurate minutes and monitoring follow-up actions.
  • Support governance processes by liaising with Board members, volunteers and internal stakeholders.
  • Manage travel schedules and diary coordination for senior managers and directors as required.
  • Coordinate accommodation and logistical arrangements for national meetings and events.
  • Build strong working relationships across the organisation, providing proactive executive support and ensuring the smooth delivery of key organisational activities.

About You

  • Minimum of 4–5 years’ experience as an Executive Assistant or Personal Assistant supporting senior executives, ideally at CEO or C-suite level.
  • Proven experience managing complex diaries, executive correspondence, travel arrangements, and meeting coordination.
  • Experience supporting Board and committee meetings, including agenda preparation, Board packs and minute taking.
  • Exceptional organisational skills with outstanding attention to detail and the ability to manage multiple priorities.
  • Highly professional with the ability to maintain confidentiality and exercise sound judgement.
  • Excellent interpersonal and communication skills with the confidence to engage with stakeholders at all levels.
  • Advanced proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint and Microsoft Teams.
  • A proactive, flexible and solutions-focused approach with the ability to anticipate the needs of senior leadership.
  • A genuine passion for delivering a first-class executive support service and ensuring every detail is managed to the highest standard.
