Bid & Tender / Senior Administrator

Location: Dublin 2

Salary: 45 – 50k per annum

This well-established Engineers, based in Dublin with a team of over 40 professionals offering practical and sustainable engineering solutions.

Due to continued growth, they are seeking an experienced Senior Administrator to join their team in a newly created role.  

The Opportunity

  • This is an exciting opportunity for a highly organised, proactive and detail-focused professional who enjoys managing deadlines, coordinating information from multiple stakeholders and producing high-quality submissions.
  • You will take ownership of the administration and coordination of fee proposals and tender submissions, ensuring all bids are completed accurately, compliantly and on time. In addition, you will provide broader administrative support to our Dublin office and project teams, offering variety and opportunities for growth within the role.
  • This position would suit someone with a strong background in bid coordination, compliance, document control or senior administration, ideally with exposure to construction, engineering or professional services environments.

Key Responsibilities:

Bid & Proposal Management:

  • Draft, edit and coordinate high-quality tender submissions and fee proposals
  • Proofread and review documents to ensure consistency, quality and accuracy
  • Interpret tender requirements and ensure full compliance with procurement criteria
  • Coordinate with engineers and project teams to gather information and meet submission deadlines
  • Manage tender submissions through eTenders and other procurement portals
  • Maintain and update bid content libraries, project case studies, CVs and supporting documentation
  • Format documents, presentations and marketing materials to a professional standard

Data & Pipeline Management

  • Manage and maintain the fee proposal tracking system
  • Ensure all proposal records are accurate and updated daily
  • Follow up proactively with project teams regarding pending proposals and deadlines
  • Generate and maintain reporting information to provide visibility of the proposal pipeline for senior management
  • Keep internal software and tracking systems up to date

Office & Team Administration

  • Provide day-to-day administrative support to engineering and management teams
  • Assist with document control, filing and project record management
  • Organise digital project folders and maintain document compliance standards
  • Support archiving and record-keeping in line with QEHS requirements

About You

  • You are naturally organised, highly detail-oriented and confident managing multiple priorities at once. You are comfortable working with busy professionals, following up on actions and ensuring deadlines are met without compromising quality.

Essential Requirements

  • Minimum 5 years’ experience in bid coordination, bid administration, compliance, document control or a similar senior administrative role
  • Strong experience managing documentation and deadlines within a professional environment
  • Excellent written communication, editing and proofreading skills
  • Exceptional organisational skills and attention to detail
  • Confidence liaising with multiple stakeholders and obtaining information within tight timeframes
  • Advanced Microsoft Excel skills and strong proficiency across the MS Office Suite
  • Experience working with tender portals and online submission systems
  • Ability to manage multiple concurrent bids and projects

Desirable

  • Experience with public procurement processes and eTenders
  • Previous experience within the construction, engineering or consultancy sectors
  • A strong design eye and experience using design or presentation software
  • Knowledge of bid best practices and proposal development
