Executive Administrative & Accounting Assistant – Toronto
Osborne Recruitment is delighted to partner with our real estate client in the search for an Executive Administrative and Accounting Assistant to support the CEO within a dynamic and fast-paced corporate office environment.
We are seeking a highly professional, polished, and exceptionally organized individual who thrives on creating structure, maintaining efficiency, and ensuring the seamless day-to-day operation of the office. This role requires a dependable and proactive candidate who can confidently support a broad range of business and accounting responsibilities, while also assisting with occasional personal matters in a discreet and professional manner.
The ideal candidate will be comfortable working independently, able to anticipate needs instinctively, and capable of moving effortlessly between routine administrative support and more complex, high-priority tasks. A natural sense of ownership, sound judgment, and strong attention to detail are essential.
This position is best suited to someone who understands that consistency, organization, and flawless execution behind the scenes are often what enable larger initiatives and business opportunities to succeed.
WHAT YOU WILL DO:
Assist with administrative duties within the commercial property management sector
Work closely with tenants, lease information, and investment statements
Acquire and process vendor quotes and service arrangements
Ensure timely turnaround on contracts and documentation
Prepare and distribute correspondence
Collect monthly statements
Align and partner with third party accountants
Organize and maintain schedules and calendar updates
Manage Google Drive organization, compliance, and financial documentation
Process accounts payable and accounts receivable transactions
Support administration of rent roll and address financial matters of tenant
Maintain accurate and organized financial documentation and records
WHAT YOU BRING:
10+ years in a similar role
Familiarity with commercial lease preparation, review and execution, tenant coordination, renewals, and ongoing tenant management
Proficiency in Excel, Google, and QuickBooks
Ability and comfort with working autonomously
Resourceful and proactive approach in resolving challenges independently
Ability to manage multiple priorities with attention to detail
Flexible, calm under pressure, and capable of navigating complex scenarios
A high level of discretion and professionalism while managing sensitive and confidential matters
ADDITIONAL NOTE:
Salary: $110K
Schedule: Onsite Monday through Friday
8:30am-5:30pm
