Executive Assistant

Overview
We are currently seeking a highly organised and proactive Executive Assistant to support the smooth running of a busy Dublin office while providing comprehensive support to four senior executives and a wider team of Real Estate professionals.
This is a fast-paced and dynamic role, suited to someone who thrives on multitasking, takes initiative, and brings a high level of professionalism and attention to detail.

For You:

  • Location: Dublin (1 day from home)
  • Salary: €55,000 + DOE
  • Job Type: Permanent

Key Responsibilities

  • Manage complex and ever-changing calendars for four senior executives
  • Provide full administrative support to a team of approximately 13 professionals
  • Coordinate domestic and international travel, including flights, visas, accommodation, and itineraries
  • Act as a key point of contact between executives and internal/external stakeholders
  • Manage correspondence, prepare reports, and handle expenses
  • Organise corporate events including board meetings, investor events, and VIP visits
  • Prepare presentations, proposals, and meeting materials
  • Support meeting preparation, including agenda setting, minute taking, and follow-up actions
  • Liaise with IT and internal teams to resolve office-related issues
  • Assist with ad hoc administrative tasks and projects as required
  • Collaborate with administration teams across multiple locations to improve processes and systems

About You

  • Minimum 3 years’ experience in a similar Executive Assistant role
  • Proven experience supporting senior stakeholders in a fast-paced environment
  • Exceptional organisational skills with the ability to manage multiple priorities
  • Strong interpersonal skills with the ability to build relationships at all levels
  • Excellent written and verbal communication skills
  • High level of discretion, professionalism, and confidentiality
  • Proactive, resourceful, and solutions-focused mindset
  • Calm and composed under pressure

Key Skills

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Strong time management and multitasking abilities
  • High attention to detail and accuracy
  • Positive, approachable, and team-oriented attitude
  • Flexible and self-motivated with a strong work ethic
