Transport Manager

The successful candidate will be responsible for all aspects of the Transport Department – People Management, Planning, Fleet Management and Driver Compliance to the relevant regulatory bodies such as Road Safety Authorities (RSA), Health and Safety Authorities (HSA) and other regulatory bodies. The holder will have a valid Transport Managers CPC License.
This is a senior role within the business; hence the person will be responsible for fostering a culture where honesty, integrity and Transport Excellence are at the core of all transport activities.

Key Responsibilities:
People Management

  • Ensure robust Performance Management cycle in place for all team members in terms of:
  • Objective Setting
  • KPI Performance
  • Monthly 1:1’s
  • Team Meetings etc.
  • Develop a Team Culture whereby people are motivated and engaged in the company’s ways of working. 
  • Ensure Training and Development plans are in place and all employees are trained in the relevant SOPS for Safety, Quality and all Transport Operational activities.

Fleet Repair & Maintenance

  • Own & drive the effective Implement a robust repair and maintenance process underpinned by relevant SOPS/Trainings to ensure the following:
  • Effective Planning and Scheduling of:
  • 13 Week Checks are scheduled and executed On-Time and In-Full (OTIF) for the entire fleet.
  • Vehicle CVRT
  • Repairs based on outcome of Daily Driver Walkaround Checks
  • Data analysis on repairs in terms of reoccurrence, failure modes with a view to gaining further insights into the fleet upgrade requirements etc.
  • Implement a tracking system to capture and track all repairs.

Fleet & Driver Compliance

  • Drive the implementation of compliance as per the relevant regulatory bodies (RSA, HSA) as follows:
  • All Vehicle are road worthy and have valid CVRT Certifications.
  • 13 Week Checks are executed OTIF.
  • Execution of Daily Driver Checks.
  • Repair & Maintenance Executed OTIF.
  • Execution of Driver RSA Training Programs, enabling CPC license requirements.
  • Driving License compliance.
  • Digi Card Compliance (Tacho and Working Time Directive) Ensuring driver working hours, driving hours and tachograph information is updated as per RSA requirements and infringements are recorded as required under law.
  • Ultimately, ensuring that all drivers, equipment, fleet vehicles/trailers both owned and hired are compliant with the relevant regulatory requirements. 
  • Adhere to all company policies, procedures and business ethics codes, confirming that they are communicated and implemented within the transport department.

Fleet Service Provider

  • A key component of this role is ensuring continuity of the fleet owned and hired; hence the role holder is the key point of contact with the fleet hire and service provider.
  • Implement a close the loop process with service provider for all repairs, service and CVRT requirements.
  • Implement a Weekly meeting to plan and prioritise repairs or hire of equipment such as trucks and trailers from service provider
  • Evaluate the service provided by service provider in terms of the cost, quality and efficiency of the:
  • Hire Equipment
  • Repairs of Trucks and Trailers
  • Drive the necessary improvements with service provider as required.

Process Confirmation

  • The aim of process confirmation is twofold, firstly to start fostering a culture of excellence and compliance with the drivers to ensure a culture of care. Secondly, this role holder will have the autonomy to have behavioural based safety and compliance conversations with both drivers and managers to help them understand the risks of not following procedures e.g. not performing driver daily walk around checks or securing the loads adequately. The role holder will implement and execute the following:
  • Schedule a Weekly, monthly Morning on the Shopfloor (MOSF) to discuss the importance of daily driver checks, securing the load, vehicle safety etc (Behavioural Based Safety and Compliance).
  • Perform Weekly inspection on the daily drivers checks to ensure that the checks are being performed adequately.
  • Schedule a weekly self-inspection of the Trucks and Trailers on a to ensure the process is compliant.
  • Review Monthly the Tachograph for each driver and provide a report per driver on infringements.
  • Implement and Drive a Weekly Control Meeting to discuss, action and track the following:
  • Repair & Maintenance Status
  • Fleet Compliance
  • Driver compliance and Behaviour
  • Daily Driver Checks
  • Foster a culture of excellence and accountability. Encourage employees to take responsibility for their actions and outcomes. Ensure that accountability is balanced with support and recognition for achievements.

Governance & Performance

  • Define and implement a clear project plan to achieve transport excellence and compliance
  • Implement Standardised ways of working and robust procedures for Compliance, Maintenance and Driver compliance
  • SOP, s
  • KPI Indicators (Safety, compliance, Driver Behaviour etc).
  • Owner of the relevant transport systems
  • Aquarius: (Driver Defects/Driver compliance)
  • Cubo: (Driver routes/fuel consumption/harsh breaking etc)
  • Pro-Driver: Tachograph Information)
  • Continually Striving to streamline processes, data and systems, to enable E2E efficiency and effectiveness
  • Regularly assess the effectiveness of initiatives undertaken to enhance both efficiency and working culture
  • Bring an outside view in terms of best-in-class transport systems to enable less administrate work and more transparent and practical systems.
  • Drive Audit compliance for Transport Standards to ISO 9001:2015
  • Continually build good working relationships internally with key stakeholders and externally with suppliers and customers.

Reporting

  • Implementation of Monthly Report to be sent to operations manager on the status of the following:
  • KPI Performance (Compliance and Behavioural)
  • Fleet Repair and Maintenance
  • Fleet Compliance
  • Driver Compliance
  • RSA Risk Rating and or Site visits
  • Transport OTIF & POD Delivery Performance
  • Attending External Audits of facilities, when required.
Essential Experience:

  • Transport Managers CPC License
  • Valid Driver’s license
  • 2-5 Years experience in transport and logistics field.
  • 2-5 Years Experience of Managing People.
