Maintenance Administrator – Permanent – Hybrid – Dublin 2

Here at Osborne, we are currently seeking a Maintenance Administrator on behalf of a Not-for-Profit organisation based in Dublin City Centre. The successful candidate will come from a facilities or maintenance background with strong excel skills.
As a Maintenance Administrator, you will play a pivotal role in supporting the Housing & Property Team by providing efficient administrative assistance. Your responsibilities will encompass general office administration, data management, IT support, and customer care, with a specific focus on managing repairs, maintenance, and tenant engagement duties.

Salary: €32k – €36k DOE

Key Responsibilities:

  • Assessing customer care needs and coordinating responsive repair services for properties.
  • Managing repair requests, diagnose issues, raise work orders, and schedule appointments with contractors.
  • Collaborate with contractors to ensure timely completion of jobs, tenant satisfaction, and compliance with procurement guidelines
  • Facilitate property access for maintenance purposes and assist in communication with tenants
  • Provide backup support to the Corporate Team by handling incoming calls and addressing inquiries.
  • Support the operation and enhancement of IT systems, ensuring accurate data entry and attention to detail.
  • Assisting in document production, including spreadsheets, typing, scanning, photocopying, and presentations.
  • Maintain accurate filing and archiving systems, both physical and digital.
  • Take minutes at team meetings and other external gatherings as needed.
  • Coordinate the distribution of publicity materials and information leaflets to tenants.
  • Prepare quarterly and annual reports on allocations, lettings, and occupancy statements.
  • Uphold health and safety standards, both personal and organizational.

Requirements:

  • 3+ years previous experience in an administrative role ideally within construction, property, or facilities.
  • Strong communication skills and a customer-centric approach
  • Proficient knowledge of MS Office, in particular Word and Excel.
  • Excellent telephone, customer service and communication skills.
  • Excellent interpersonal skills, good ability to multitask and meet deadlines.
  • Highly motivated with an ability to take ownership and with strong attention to detail.
  • Adaptability and flexibility in a fast and dynamic environment.
  • Excellent interpersonal and communication skills (both verbal and written).
  • Excellent teamwork and collaboration skills.
  • Ability to plan and prioritize own workload, based on business requirements.
