Here at Osborne, we are hiring for a motivated and detail-oriented Grade IV Administrative Assistant for one of our public sector clients, based in Co. Galway. This role requires a high level of organisational skills, the ability to multitask, and strong communication abilities. The successful candidate will play a pivotal role in supporting the administrative functions of their organisation.
Key responsibilities:
Manage creditors and debtors ledgers, including supplier payments, invoice scanning, and reconciliations.
Reconcile accounts and maintain control accounts.
Liaise with suppliers, debtors, and auditors.
Administer rates, including issuing invoices, debt collection, and annual reconciliations.
Process staff claims.
Conduct monthly cash management analysis and variance reporting.
Prepare budgets and operational accounts.
Maintain fixed asset registers.
Manage staff mobile phone accounts and utilities (electricity, rates, water, security, cleaning).
Provide general administrative support to the Regional Director and senior staff.
Handle customer support, front-of-house reception, and switchboard operations.
Reconcile licences and process payments for licences and penalties.
Assist with tendering, procurement, and local purchasing processes.
Liaise with the Transport team regarding fleet management.
Support event planning, specific projects, and ongoing maintenance of offices and equipment.
Administer databases, records retention, and filing systems.
Perform ad hoc duties, including supporting national working groups and assignments from the Director.
Qualifications and Experience: Essential Requirements:
A Leaving Certificate (Level 5 NFQ) or recognised equivalent.
A full, valid Category B driving license in Ireland.
At least two years of relevant experience in an administrative role.
Knowledge and experience in accounts/bookkeeping.
Proficiency in Microsoft Office Suite with exceptional attention to detail.
Strong organisational skills with the ability to prioritise tasks and manage workflow independently.
Excellent communication and interpersonal skills.
Effective time management and the ability to work under pressure.
A collaborative team player with a positive attitude, even during challenging tasks.
Flexibility to balance cyclical demands with other responsibilities.
High level of confidentiality and discretion.
Commitment to delivering a quality customer/stakeholder experience.
Desirable Skills:
Quick learner who adapts well to change.
Experience in a large, complex, or public sector organisation.
An accounting technician qualification is an advantage.
