Sales & Purchasing Administrator

Overview
The Sales & Purchasing Administrator will provide essential support to both the sales and procurement functions, ensuring smooth coordination between customers, suppliers, production, and internal teams.

This role suits someone who is highly organised, detail-driven, and comfortable managing multiple priorities in a fast-paced manufacturing environment.

Key Responsibilities
Sales Administration

  • Process customer orders from initial enquiry through to delivery, ensuring accuracy and timely communication.
  • Prepare quotations, pricing updates, and product information for customers.
  • Liaise with production, logistics, and planning teams to confirm lead times, stock availability, and delivery schedules.
  • Respond to customer queries by phone and email, providing excellent service and resolving issues promptly.
  • Coordinate samples, product documentation, and technical information for customers.
  • Monitor order patterns and flag potential issues such as delays, shortages, or quality concerns.

Purchasing Support

  • Raise and process purchase orders for materials, components, and consumables as required.
  • Liaise with suppliers to confirm pricing, lead times, and delivery schedules.
  • Track open purchase orders and follow up to ensure timely delivery.
  • Assist with sourcing new suppliers, obtaining quotations, and comparing pricing.
  • Maintain supplier records, pricing files, and purchasing documentation within ERP/MRP systems.
  • Reconcile purchase order confirmations and delivery dockets.
  • Assist with purchasing reports, cost analyses, and supplier performance tracking.

Cross-Functional Coordination

  • Work closely with production, warehouse, logistics, and quality teams to ensure smooth flow of materials and information.
  • Support continuous improvement initiatives across sales, purchasing, and administrative processes.

Skills & Experience Required

  • Experience in sales administration, customer service, purchasing support, or similar roles—ideally within manufacturing or engineering.
  • Strong English language abilities – spoken and written.
  • Strong organisational skills with the ability to manage multiple priorities and deadlines.
  • Excellent communication skills and a professional manner when dealing with customers and suppliers.
  • High level of accuracy and attention to detail.
  • Proficiency in MS Office (Excel, Word, Outlook); experience with CRM or ERP/MRP systems is an advantage.
  • Ability to work collaboratively with cross-functional teams.
  • Analytical mindset and willingness to take initiative.

Desirable Qualifications

  • Business administration, supply chain, or related qualification.
  • Experience working with ISO standards or regulated manufacturing environments.
  • Understanding of basic procurement and inventory management principles.
