Accounts Administrator – Part-Time (20 hours per week)

Location: Dublin
Contract: Permanent, Part-Time
Hours: 20 hours per week, ideally spread over 4 days
Salary: €40,000 pro rata
Start Date: Ideally May 2025

This is a great opportunity for an experienced and self-motivated professional to join a close-knit team and contribute to the smooth running of finance and administration functions.

Responsibilities of the Accounts Administrator:

  • Maintain and update purchase orders
  • Process and post supplier invoices, including invoice approval tracking
  • Perform supplier reconciliations and prepare supplier payment listings
  • Assist in preparation for the annual audit, including audit testing and managing auditor queries
  • Process staff and member expense claims accurately and efficiently
  • Manage quarterly accruals and prepayments
  • Maintain and update the Fixed Asset Register
  • Conduct monthly credit card reconciliations and analysis
  • Monitor the accounts inbox and manage incoming queries
  • Handle account and subscription-related phone queries
  • Assist with annual subscriptions invoicing, including preparation, reconciliation, and batch processing
  • Support finance processes across systems such as Sage, WooCommerce, Redware, TITO, and Stripe — including reporting, reconciliation, integration, and troubleshooting
  • Process and reconcile card receipt imports
  • Manage stationery and IT purchasing
  • Coordinate maintenance contracts and new supplier setups
  • Maintain accurate electronic filing systems

The Ideal Accounts Administrator:

  • Proven experience in a similar accounts or administrative role
  • Proficiency in Microsoft Office, particularly Excel and Word
  • Working knowledge of Sage or a similar accounting package
  • Excellent organisational skills and attention to detail
  • Ability to work independently and use initiative in a busy environment
  • Strong communication skills and a collaborative, professional approach
  • A flexible and hands-on attitude with the ability to manage multiple tasks
  • Experience with systems such as WooCommerce, Stripe, or Redware is an advantage, though not essential
