Administrator 9 Month FTC

At Osborne, we are currently hiring an administrator for a 9 month maternity cover for one of our clients based in Tallaght in South Dublin. This role is ideal for someone with great organisation and a multitasking abilities

For you:

  • Salary: 35K
  • Hours: 8:30am to 5pm (Mon – Thurs) & 8:30am to 4pm (Fri)
  • Annual Leave: 21 Days

Responsibilities:
Communication & Reception:

  • Answer and transfer incoming calls, and take accurate messages.
  • Greet visitors professionally and direct them to the showroom.
  • Manage company emails and redirect inquiries as needed.

Meeting & Schedule Management:

  • Schedule and organize monthly project review meetings.
  • Record and distribute accurate meeting minutes.
  • Manage the Director's diary, including scheduling meetings and sending reminders.
  • Organising travel arrangements

Office Management:

  • Maintain cleanliness and tidiness of the head office.
  • Manage office stationery and printer supplies, including maintenance.
  • Ensure kitchen supplies are stocked and manage external cleaning services.
  • Schedule external service contractors as needed.
  • Provide general administrative support to the team.
  • Manage the cleaning services

Document Control & Administration:

  • Assist with contract updates and maintain confidentiality in shredding documents.
  • Update and maintain project trackers to ensure accuracy.
  • Manage document flow on SharePoint and assist in printing drawings.

Qualifications and Skills:

  • Proven experience in office administration or receptionist roles. (At least 3 years)
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in MS Office Suite (Word, Excel, Outlook).
  • Attention to detail and ability to maintain confidentiality.
  • Experience with document management systems and project coordination is preferred.
