Here at Osborne, we are seeking an experienced and highly organised Executive Assistant to support our client based in Dublin City Centre. This role involves frequent board meetings meaning vast minute taking experience is essential. The successful candidate will provide executive support to the inhouse solicitor, compliance coordinator, head of operations & financial controller. This role offers a unique opportunity to work within a structured and purpose-driven environment, contributing to the effective management of legal, compliance, and trust-related functions.
Salary: Up to €55k DOE
Responsibilities:
Manage committee processes, including membership updates, terms of reference, and liaising with Chairpersons.
Organise meeting logistics, prepare and distribute meeting packs, take minutes at all meetings and follow up on action points.
Oversee the scheduling of key committee meetings while maintaining committee records and listings.
Manage legal file administration, including opening & maintaining files.
Support transaction documentation and closing procedures.
Address queries from potential beneficiaries of trust funds.
Attend trust meetings, present grant submissions, and conduct external visits when necessary.
Maintain schedules for multi-year funding and coordinate associated payments.
Follow up on legacies and maintain the legacy register.
Coordinate meetings and manage diaries for key personnel.
Draft correspondence and prepare documents as required.
Handle office supplies, mail, and visitor reception.
Requirements:
A minimum of 5 years of experience in a senior-level administrative role.
Company Secretarial qualifications ie Diploma in Corporate Governance.
Strong minute-taking & writing skills.
Proficiency in Microsoft Office (Excel, Word, PowerPoint).
Excellent organisational skills, ability to multitask, and meet deadlines.
Strong communication skills, both written and verbal, with an empathetic approach.
Proactive, flexible, and motivated.
Team player who can also work independently.
Adaptable to a changing environment and committed to delivering excellent service.
