PA to the CEO. 

Our client, a globally recognised company, is seeking an experienced and highly organised Senior Administrator / PA to the CEO. 
This role involves managing a client research project portfolio's. 
You will provide comprehensive support to the Chief Executive Officer (CEO).

Main Duties/Responsibilities:
Communication Management:

  • Represent the CEO and manage communications.
  • Act as the first point of contact for the CEO, handling incoming inquiries.
  • Manage correspondence by responding directly, delegating, or advising on responses, ensuring clarity of outcomes and actions.
  • Disseminate information to senior leadership and ensure action is taken.
  • Provide information and feedback to the wider team on developing issues.

Project and Management Support:

  • Organise and track all projects handled by the CEO, such as new business pitches and design work.
  • Provide project support by reviewing and summarizing documents, highlighting key changes, and ensuring CEO feedback reaches relevant team members.
  • Prepare reports, memos, and presentation materials as required.

Scheduling and Meeting Support:

  • Maintain a coordinated and up-to-date calendar for the CEO.
  • Organize and schedule meetings with employees and external partners.
  • Attend meetings with the CEO to record outcomes and follow-up actions.
  • Provide daily diary management and verbal prompts to the CEO, ensuring all commitments are met.
  • Ensure the CEO is prepared for meetings, trade shows, and conventions, including logistics, speaking notes, and presentations.

Wider Administration:

  • Perform ad-hoc tasks as needed.
  • Develop and maintain the CEO’s paper and electronic filing systems.
  • Process expense and credit card returns and other finance-related duties.

Who We Are Looking For:

  • At least 2-3 years’ experience in a similar role plus 5 to 10 years of relevant experience in a commercial or creative environment.
  • Highly organized, self-starter, capable of managing competing demands under pressure with high accuracy and attention to detail.
  • Skilled people manager with experience in establishing and maintaining positive relationships with the CEO and the wider team.
  • Experience setting up new administrative processes and training others to use them.
  • Ability to work collaboratively with external partners on commercial and creative projects.
  • Extensive experience in CEO or executive diary management and supporting project delivery.
  • Experience in writing pitches, briefing materials, speaking notes, presentations, and management reports.
  • Proven ability to handle confidential information with discretion.
  • Flexible and willing to undertake varied responsibilities.
  • Familiarity with standard Microsoft Office packages.
  • Must be legally able to work in Ireland.

Desirable Skills:

  • Experience managing a CEO's corporate social media presence.
  • Experience in PR, media, or press interview preparation.
  • Experience working with global teams in different time zones.
  • Financial management or accounts experience.
  • Familiarity with Google Workspace and Monday.com.
