Onboarding Specialist Permanent, Full-Time Monaghan – Hybrid Working

Role Overview:

We are seeking a dedicated and enthusiastic Onboarding Coordinator for our client, a private organization in the Monaghan area.
As an Onboarding Specialist, you will report to the HR Manager and be part of the Recruitment team, collaborating closely with Recruiters, Training, and HR teams to ensure a smooth and positive onboarding experience for all new hires.

Responsibilities:

  • Oversee quality control, compliance, and timely processing of all post-offer recruitment activities.
  • Serve as the main point of contact for all onboarding-related queries from candidates prior to their start date.
  • Follow up with candidates after offers are made to ensure all documents are completed and returned.
  • Administer and maintain HRIS (TMS) and ATS (See-Me-Hired) databases for all new joiners.
  • Accurately update recruitment and onboarding trackers daily and provide regular progress updates to highlight any potential issues or concerns.
  • Attend weekly meetings with Recruitment, Training, and HR teams to ensure all relevant data and documentation for new joiners are shared for a smooth transition to induction, training, and deployment.
  • Utilize excellent interpersonal and communication skills to establish rapport and ensure a positive onboarding experience for new hires.
  • Demonstrate strong organizational skills and attention to detail to manage and oversee multiple onboarding processes simultaneously.
  • Show flexibility and adaptability to meet the diverse needs and backgrounds of new hires.
  • Prioritize tasks effectively, managing multiple compliance and onboarding requirements simultaneously to meet deadlines.
  • Ensure strict compliance with Recruitment, Screening, and HR processes, safeguarding confidential and sensitive information.
  • Provide regular data reports and updates to HR Management and stakeholders on onboarding, screening, and compliance metrics to manage stakeholder expectations.

Requirements:

  • A primary degree, preferably in Human Resources or a related field.
  • 2+ years of experience in a similar role.
  • Strong candidate management skills.
  • Previous experience in recruitment, compliance, or onboarding coordination is highly advantageous.
  • Ability to deliver customer-focused service, work collaboratively in a team, manage tight deadlines, and handle multiple priorities while remaining results-oriented.
  • Demonstrated exceptional administrative skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Strong problem-solving abilities.
  • Understanding the importance of timely and accurate data management.
  • Strong teamwork skills.
  • Proficiency in HRIS systems, data analysis, reporting tools, and the Microsoft Office Suite (specifically Excel)
