My client a manufacturing dynamic company dedicated to providing top-notch services/products to their valued customers. They pride themselves on commitment to excellence and customer satisfaction. As they expand, they are seeking a dedicated and detail-oriented Office Administrator to join their team. The Office Administrator will play a crucial role in ensuring the smooth operation of our office. The ideal candidate will be highly organized, efficient, and capable of handling multiple tasks with a high degree of accuracy. This role involves managing various administrative duties, including creating invoices, handling purchase orders (POs), addressing customer queries, and booking couriers.

Responsibilities:

  • Invoice Management: Create and manage invoices using Sage software, ensuring accuracy and timely distribution.
  • Purchase Orders (POs): Generate and track purchase orders, ensuring all orders are processed efficiently and accurately.
  • Customer Queries: Address customer inquiries via phone, email, or in-person, providing excellent customer service and resolving issues promptly.
  • Courier Booking: Organize and book couriers for deliveries, ensuring timely and cost-effective logistics solutions.
  • Administrative Support: Provide general administrative support including filing, data entry, and maintaining office supplies.
  • Documentation: Maintain accurate records and files, ensuring all documentation is up to date and easily accessible.
  • Communication: Liaise with other departments to ensure smooth workflow and effective communication.

Qualifications:

  • Previous experience in an administrative role, preferably within an office environment.
  • Proficient in Sage software and Microsoft Office Suite (Word, Excel, Outlook).
  • Strong customer service skills with the ability to handle inquiries and complaints professionally.
  • Exceptional organizational skills with the ability to multitask and prioritize effectively
  • Excellent verbal and written communication skills.
  • High level of accuracy and attention to detail in all tasks.
