Senior Administrator / Personal Assistant

Exciting opportunity to join our client, a prestigious member organisation and trade association, in the role of Senior Administrator / Personal Assistant. This pivotal position is based at the front of house Reception in a central Dublin location, where you will be the first point of contact for the association. This role involves comprehensive administrative support to the CEO and team and reports to the Office Manager.

Working Hours:

  • Monday to Friday, 9:00 am – 5:00 pm with an hour for lunch.

Key Responsibilities:

  • Membership Services: Handle and efficiently respond to varied member queries, maintaining positive relationships. Manage the production and distribution of correspondence using MailChimp and maintain accurate membership information on Salesforce. Coordinate and prepare for internal meetings.
  • Course Administration: Act as the main contact for a Diploma Course, managing all aspects from bookings to graduation ceremony arrangements.
  • Administrative Duties / Project Work: Perform varied administrative tasks and project work in line with the changing needs of members.
  • Reception Responsibilities: Handle the main phone line, meet and greet visitors, assist in diary management and meeting setup, and maintain a tidy reception area.

Preferred Skills and Experience:

  • Professionalism: Must be presentable, professional, outgoing, and assertive.
  • Organisational Skills: Highly organised and adaptable, with a strong ability to multitask.
  • Communication: Exceptional communication skills are essential, requiring tact and diplomacy.
  • IT Proficiency: Strong knowledge of Microsoft Office, Mailchimp, Salesforce, Eventbrite, Surveymonkey, WordPress, and social media.
  • Other Qualities: Highly motivated, enthusiastic, and dedicated to providing high levels of service. Geographical knowledge of Dublin is beneficial.
