Accounts/Administrative Assistant

We are currently seeking a detail-oriented and proactive Accounts/Administrative Assistant to join our team. The ideal candidate will possess strong Excel skills, experience in providing administrative support, and proficiency in organizing invoices and financial documents.


  • Accounts Receivable/Payable Support: Assist in managing accounts receivable and payable functions, including processing invoices, issuing payments, and reconciling accounts. Collaborate with the finance team to ensure accurate and timely financial transactions.
  • Excel Proficiency: Utilize Excel to maintain and update financial spreadsheets, track expenses, and analyze data for reporting purposes. Proficiency in functions such as VLOOKUP, PivotTables, and SUMIF will be essential for this role.
  • Administrative Support: Provide comprehensive administrative support to the team, including but not limited to managing calendars, scheduling meetings, and coordinating travel arrangements. Handle incoming inquiries and correspondence in a professional and timely manner.
  • Invoice Organization: Organize and maintain a systematic filing system for invoices and financial documents, ensuring easy retrieval and compliance with record-keeping requirements. Assist in processing and verifying invoices for accuracy and completeness.
  • Expense Management: Assist in monitoring and managing expenses, tracking receipts, and preparing expense reports. Work closely with team members to ensure adherence to budgetary guidelines and expense policies.
  • Communication: Serve as a liaison between internal departments and external vendors or clients, facilitating communication and resolving issues as needed. Maintain positive relationships with stakeholders through clear and effective communication.
  • Ad Hoc Tasks: Assist with special projects and ad hoc tasks as assigned, demonstrating flexibility and willingness to take on new responsibilities as required.


  • Previous experience in an accounts/administrative support role preferred.
  • Proficiency in Microsoft Office Suite, particularly Excel, with advanced skills in spreadsheet management and data analysis.
  • Strong organizational skills and attention to detail, with the ability to multitask and prioritize effectively.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with colleagues and external partners.
  • Ability to work independently with minimal supervision and as part of a collaborative team environment.
  • Familiarity with accounting software and systems is a plus.
  • Bachelor's degree in accounting, finance, business administration, or a related field preferred.
