Working as part of a team, the Hospitality Manager will be responsible for the delivery of friendly and efficient guest services in the Residence as well as maintaining and developing Dublin's administrative systems. Another key component of the role will be ensuring health and safety and managing maintenance issues. This is a role that is based in the Dublin office in Baggot Street and there is no scope for remote working. This is a fully onsite position.
Hours: 28 hours per week (over 4 weekdays)
Salary: €16.41 per hour
Key Responsibilities
Hospitality duties:
Ensure the delivery of excellent guest services within the Residence at all times;
Coordinate the use of meeting rooms ensuring a professional service at all times;
Supervision of the Receptionist and Housekeeper;
Supervision of Resident Assistants;
Deal with all enquiries to the Residence in a professional and courteous manner;
Support administration of reservations, cancellations, departures and deposits in line with Residence policy;
Fulfill all reasonable requests from guests to ensure their comfort, satisfaction and safety;
Direct customer complaints to Ireland CEO;
Be responsible for distribution and review of guest satisfaction surveys;
Room checks;
Preparation of keys and fobs for arrivals and returns.
General Administration Duties:
Administration of reservations, cancellations, departures and deposits in line with the policies;
Deal with enquiries in a professional and courteous manner;
Assisting with the invoicing of guests;
Developing systems and processes to make the management of the Centre more efficient;
Maintenance of the Residence filing systems;
Maintenance of the Dublin mailing list and database;
Processing of incoming and outgoing mail;
Provide front of house support as required;
Adhere to GDPR policy and practice.
Maintenance Duties:
Co-ordinate maintenance visits with contractors in Residence and residential properties;
Ensure that maintenance work is carried out in an efficient and timely manner having the least possible impact on the guest experience;
Ensure that the Residence internet system is maintained and efficient;
Oversee preparation of public areas before guests arrive;
Maintain inventory of equipment.
Health and Safety Duties:
Ensure the implementation of the Residence Safety Statement at all times;
Perform and review risk assessments;
Oversee fire safety within the Residence ensuring that all employees are aware of their responsibilities;
Maintain accident and incident reports ensuring that the Ireland CEO is fully briefed at all times;
Input to new employee induction and training on matters relating to health and safety;
Be responsible for evacuation, in cases of emergency, (and when required) act as first point of contact for guests and the emergency services.
Other responsibilities:
Attend training, appraisals and team meetings as required;
Contribute to a positive team spirit and effective working relationships;
Other duties as assigned by the CEO.
Person Specification
Essential
Two years’ experience working in a hospitality and/or a customer facing environment;
Experience of supervising teams;
Excellent organisational skills with the ability to prioritise;
IT skills including a strong competency in Microsoft Office programmes (particularly Excel) and Google docs;
Excellent time management skills and the ability to multi-task;
An eye for detail and an ability to ensure that work is undertaken with scrupulous accuracy;
Honesty and a respectfulness of confidentiality;
Experience of working in a multi-cultural and diverse environment;
Supportive of the company’s ethos and vision to empower young women in their leadership;
Strong interpersonal skills and proven ability to develop effective working relationships with a range of stakeholders;
Excellent communication skills;
Ability to work on own initiative, flexibility and a team player;
Immaculate personal presentation.
Desirable
Experience of property management;
Experience of managing volunteers;
Experience in and understanding of the community and voluntary, youth and faith sectors in the Republic of Ireland.
