Events Administrator– 3 Month FTC (possibly extended) – Dublin 2

About the Role:

Are you passionate about coordinating functions and events in a dynamic cultural institution? Osborne Recruitment is looking for an Events Administrator on behalf of our client to support the Commercial Manager in the Commercial Department. Reporting to the Events Manager, the Events Administrator will play a crucial role in the planning and execution of both internal and external functions and events.

Hours: Full-time (35 hours per week), working on a weekly rota (5 over 7 days). Regular weekend and evening work is required.

Salary: €534.34 per week

Responsibilities:

  • Collaborate with the Commercial Department to maximize the potential of events in the Gallery.
  • Assist in creating sales and leads in the revenue-generating area of functions and events.
  • Foster and strengthen existing relationships with corporate and external organizations, Gallery Corporate Partners, and Sponsors during their event planning processes.
  • Ensure the delivery of the Functions and Events Policy.
  • Ensure that all clients work within the Gallery's suppliers list and policy guidelines.
  • Coordinate and administer functions and events at a high professional standard.
  • Collaborate with the Operations Department to deliver events and ensure they adhere to Gallery Health and Safety guidelines.
  • Deliver excellent customer service to current and prospective clients, both front-of-house and through phone/email interactions.
  • Coordinate the events calendar for the Gallery and manage new bookings.
  • Work both independently and as part of the Events team.
  • Effectively handle all queries related to events.
  • Demonstrate resourcefulness and pro-activeness in their work.
  • Perform other duties as required.

Requirements:

  • Previous experience in a fast-paced events and functions environment and a relevant qualification (or equivalent professional experience).
  • Proficiency in working with basic audiovisual (AV) equipment.
  • Strong IT skills with a good knowledge of information management systems.
  • Exceptional organizational skills, with the ability to meet deadlines and contribute to reports when necessary.
  • An ability to work independently and as part of an effective team.
  • Excellent interpersonal and communication skills, both oral and written.
  • A strong interest in working at the Gallery and a willingness to contribute to a positive working environment.
