Here at Osborne, we are currently recruiting for an Executive Officer within the Registration Department on behalf of our client based in Dublin 7. This is an exciting opportunity to join a public sector organisation and contribute to the establishment and maintenance of high standards and good practice. The Registration Department deals with applications for those qualified in Ireland and applications for those who have had their qualification recognised. This is a fixed-term contract for 6 Months.
The role of Executive Officer is to process registration applications in a timely manner in line with statutory requirements. You will provide executive and administration support in the Registration department by following and maintaining processes for registration of professionals including project planning and implementation. This position is necessary for providing continued support in the Registration Operations Team and the attendance of Registration Boards meetings.

Key Responsibilities:
Efficiently process registration applications in compliance with statutory requirements.
Present applications and offer recommendations to registration boards as needed, assisting them in meeting their statutory obligations.
Effectively manage application queues for one or more professions, distributing verification workloads throughout the registration team.
Oversee the work and performance of Clerical Officers, ensuring a high standard of work.
Develop expertise in at least two of the regulated professions, particularly concerning approved qualifications and employment characteristics.
Capture meeting minutes as required to maintain accurate records.
Scrutinize applicant documentation thoroughly, with specific attention to applicant exceptions, and prepare precise information for presentation to registration boards, facilitating their decision-making.
Prepare applicant-related documentation for meeting packs, committee meetings, and develop reports and policy papers under the guidance of Executive Officers.
Handle inquiries through phone and email, providing essential administrative support and backup to the department.
Become fully acquainted with governing legislation and Bye-Laws, as well as EU directives and government policies pertaining to your area of responsibility.
Collaborate with professional bodies and other regulators to ensure consistent regulatory practices.
Complete the training process to become a National Vetting Bureau Liaison Person, managing vetting applications submitted to the NVB and handling relevant disclosures.
Oversee processes and identify opportunities for improvement in the registration process.
Fully participate in and actively contribute to the performance management and development system.
Support in the preparation and assembly of documentation, papers, and reports for Council, board, and committee meetings.
Assist with additional training coordination functions and collaborate with the Policy Coordinator to implement new QMS policies and manuals.
Provide additional support to reduce Section 91 processing times.
Undertake any other tasks assigned by the Registration Manager, Registration Policy Team Manager, Head of Registration, or the CEO as needed.
Qualifications and Experience:
A third-level qualification or equivalent in project management, process management, or public administration would be an advantage.
Minimum 3 years' experience in a similar role.
Prior administrative experience in a regulatory environment.
Proficiency in PC operation and a comprehensive knowledge of office processes and equipment.
Ability to consistently produce accurate, high-quality work, even when dealing with high volumes.
Strong organizational skills and attention to detail.
Excellent communication skills, both written and verbal.
Ability to handle confidential information discreetly.
Strong multitasking abilities and a flexible attitude toward tasks.
Flexibility to thrive in a dynamic work environment.
Experience in a process-oriented role would be advantageous.
