Osborne Recruitment are currently working with a client in North Dublin looking for an experienced Logistics, Planner Router Administrator. It’s a permanent full time position Monday – Friday. 

The Role
This role principally involves the coordination of all sales order activity from order receipt through to delivery. Principally to receive and input all orders from our customers and sales representatives in a courteous and professional manner. Ensuring all orders entered onto the system are accurate and the correct pricing structures and credit control procedures are adhered to. Liaising with production and supply chain personnel to ensure our customers’ expectations and agreed delivery schedules are met. Coordination of all delivery requirements, with emphasis on maximising throughput for our in-house vehicles. Amending all returned delivery dockets and returned stock on the system and prepare for invoicing. Ensuring the orders system is operating efficiently at all times.
Maxol operates to tight reporting deadlines, so the Logistics Planner & Router is required to be flexible, self-motivated & capable of prioritising & time-managing their work based on immediate company need while, at the same time, maintaining outstanding internal and external customer relations. This is position is of very high importance to the Company and strict confidentiality is essential.

Candidates must demonstrate the following:

Qualifications/Experience

  • At least 3 years’ experience in a similar role.
  • Knowledge of Regulatory Compliance and awareness of transportation regulations, safety standards, and environmental guidelines to ensure compliance in logistics operations.
  • Continuous Improvement Mindset – Eager to seek feedback, learn from experiences, and continuously improve route planning processes.
  • Demonstrate an understanding of the financial implications of logistics decisions to contribute to the company's overall profitability.
  • The ability to identify and address logistical challenges and find creative solutions to ensure smooth and efficient operations.
  • Familiarity with geographical locations, road networks, and traffic patterns to create optimal delivery routes and minimise transit times.
  • Experience using route planning software, telemetric systems, GPS tracking, and other logistics-related technologies.
  • An understanding of sustainable practices and a commitment to integrating environmentally responsible solutions in logistics routing.
  • Negotiation Skills – The ability to negotiate with suppliers and transportation partners to secure favourable terms and cost-effective solutions.

  • The ability to identify patterns and derive insights to optimise route planning and inventory management.

  • Effective communication and collaboration with drivers, dispatchers, customers, and other stakeholders to relay critical information and manage expectations.
  • The ability to work under time constraints, prioritise tasks, and meet deadlines to ensure on-time deliveries.
  • Flexible and adaptable to handle unexpected changes, such as traffic disruptions or delivery delays, and quickly adjust route plans accordingly.
  • A drive to deliver exceptional customer experience by ensuring timely and accurate deliveries. Primary Responsibilities Route Planning.
  • Analyse shipment data and customer orders to determine the most efficient delivery routes.
  • Optimise routes to minimise distance, time, and fuel consumption while maximising delivery capacity.
  • Consider factors such as traffic patterns, road conditions, and delivery time windows.
  • Proactively identify potential issues and risks in route planning and take preventive measures to avoid disruptions.

Load Optimisation

  • Determine the optimal load distribution for each vehicle to maximise space utilisation and minimise the number of trips.
  • Balance the weight and volume of goods for safe and efficient transportation.

Vehicle Assignment

  • Assign appropriate vehicles based on load requirements, vehicle capacities, and route characteristics.
  • Ensure that vehicles are properly maintained and compliant with regulations.

Address Verification and Validation

  • Verify and validate customer addresses to ensure accurate and timely deliveries.
  • Update and maintain a database of accurate delivery locations.

Time Slot Management

  • Allocate time slots for each delivery based on customer preferences and operational constraints.
  • Coordinate delivery schedules to avoid conflicts and delays.

Real-Time Tracking and Monitoring

  • Monitor delivery progress in real-time using GPS tracking systems.
  • Address any unforeseen issues, such as traffic congestion or vehicle breakdowns, to minimise disruptions.

Risk Assessment and Mitigation

  • Identify potential risks and challenges in the routing process.
  • Develop contingency plans to handle unexpected events and ensure smooth operations. Compliance and Regulatory Adherence
  • Ensure compliance with transportation regulations, safety standards, and environmental guidelines.
  • Stay updated on any changes in regulations that may impact route planning and logistics operations. 
  • Ensuring the confidentiality and integrity of telemetric data, adhering to data protection regulations.

Customer Communication

  • Communicate with customers regarding delivery schedules, delays, and any changes to their orders.
  • Provide proactive updates on delivery status to enhance customer satisfaction.

Data Analysis and Reporting

  • Analyse historical data and performance metrics to identify areas for improvement in routing efficiency.
  • Generate regular reports on key performance indicators (KPIs) to evaluate the effectiveness of routing strategies.

Collaboration with Stakeholders

  • Collaborate with various teams, including dispatchers, drivers, and customer service, to ensure smooth execution of the routing plan.
  • Work closely with sales and customer service teams to align route planning with customer needs and preferences.

Continuous Improvement

  • Seek feedback from drivers and operational teams to improve route planning processes.
  • Implement lessons learned and best practices to continuously enhance routing efficiency.

Telemetric Stock Level Management

  • Integrate the telemetric data into the route planning software to provide up-to-date information on tank fill levels.
  • Utilise the data to optimise delivery routes based on tank refill requirements.

Tank Inventory Forecasting

  • Use historical telemetric data and consumption patterns to forecast future stock levels in each storage tank.
  • Incorporate the inventory forecasts into the route planning process to ensure timely refills
  • without stockouts or overfilling. Automated Reorder Point Setting 
  • Set automated reorder points for each storage tank based on consumption rates and lead times.
  • When stock levels reach the reorder point, trigger automatic replenishment orders to the supplier.

Fuel Theft and Spillage Detection 

  • Integrate telemetric systems with fuel theft and spillage detection mechanisms to safeguard against losses and environmental hazards.
  • Receive real-time alerts in case of any suspicious activities or potential leakages.
  • Environmental Impact Assessment  
  • Use telemetric data to monitor fuel consumption and emissions from delivery vehicles. 
  • Conduct regular assessments to identify opportunities for reducing the carbon footprint and enhancing sustainability.
