The Role:
The Project Coordinator oversees the definition, planning, design, implementation, and successful handover of Facility/Infrastructure projects. These projects are managed regarding scope, budget, time, quality, risk, communication, and organisation in line with agreed procedures, agreements, and timelines. The projects can relate to maintenance, upgrades, expansions, or any other operational matters that require following the project process to get implemented.
The Project Coordinator is involved in selected programs and projects, related to technical enhancements, upgrades, and/or operational innovations. It is a vital role given the complexity and importance of the projects. An important contributor to the achievement of some of the goals and objectives of the Operations department. Erroneous execution could result in delays of projects or operations and cause some expenditure of additional time and resources

Project Management
Project Setup

  • Document and formalise all requirements and acceptance criteria from relevant stakeholders
  • Liaise with senior PM to create necessary project documentation
  • Coordinate projects, in line with agreed processes and instructions, assuring that all projects follow the agreed milestones and decision points.
  • Arrange the relevant resources required to complete the project.
  • Create a detailed work plan which identifies and sequences the activities needed to successfully complete the project.
  • Report on status, budget, risks, and progress in line with the agreed process.

Project Execution

  • Identify and manage relevant risks.
  • Preparing and managing the required quotes, work permits, Change Requests, and arranging the supervision of the works.
  • Monitor the progress of the project and make adjustments as necessary to ensure the successful completion of the project.
  • Monitor the quality of the work completed with the project team on a regular basis to ensure that it meets the project standards and highlight any quality issues in a timely manner.
  • Collate and coordinate internal and external communication within projects, including preparation of internal and external notifications and reports.
  • Keep financial records for the project up to date.
  • Support the internal and external auditing process

Project Completion

  • File all relevant documentation at completion (including relevant updated technical drawings and maintenance information)
  • Prepare the formal handover of the project deliverables in line with the agreed and documented acceptance criteria.
  • Contribute to the review of the actual outcomes of the project against those determined during the initiation phase and capture identified areas for continuous improvements.

Qualifications and knowledge required:

  • Proven knowledge and experience as part of a project
  • Good overall knowledge of electrical and mechanical systems in an industrial or Data Centre environment is a distinct advantage
  • Relevant Project Management certifications e.g. CTPM, Prince2, IPMA, or PMP (PMI).
  • Minimum of 3 years’ experience in technical/datacentre environments
